Today, the Red Cross Youth has an independent IT infrastructure with some components shared with the Red Cross, including Active Directory user management. The Red Cross Youth has an independent CRM system and independent volunteers, members, donors and customers. This is further described in Annexes 2 and 3 to the contract.
A migration of the Red Cross Youth functionality and data is offered as an option. Tasks that exclusively support the Red Cross Youth (Configuration of independent organization in the system, migration of Red Cross Youth data, functionality that deals exclusively with Red Cross Youth needs) must be included in the offer of this option.
As a starting point, the Red Cross Youth will go to great lengths to fit into the needs that the Red Cross has for the upcoming CRM solution.
It is not a requirement that the current workflows must continue in the future solution if the Red Cross' workflows, including other systems, can solve the needs of the Red Cross Youth. There will be special cases when the Red Cross Youth cannot adapt. In these cases, the supplier must submit a bid for a solution to the Red Cross Youth.
It is therefore expected that during the clarification phase in the tender process, the supplier will investigate the possibility of streamlining workflows between the Red Cross Youth and the Red Cross, so that there are as few customized solutions as possible.
The supplier must handle each functional requirement and workspace in one of three ways:
1. The supplier ensures that Red Cross Youth needs are already covered by the needs of the Red Cross in the new solution.
If this is not possible, there are two ways to go, both budgeted and paid for by Red Cross Youth:
2. The supplier proposes and implements new workflows for handling the area outside the solution (e.g. same as Red Cross)
or
3. The supplier develops and supports Red Cross Youth needs in the new solution
The option must be priced independently.

The dialogue with tenderers may lead to changes to the advertised tender documents up to the final tender deadline. The tenderer must be aware of any changes notified by e-mail prior to the offer deadline. The Red Cross reserves the right to change e.g. minimum requirements.
